Accounting Software Consulting Cumming, GA
Overview
Accounting software consulting in Cumming, GA from a QuickBooks Online ProAdvisor. We help you pick the right stack, set it up correctly, and connect the pieces so data only has to be entered once. The right software can take 10 hours a week off your plate. The wrong software can add 10.
Overview
Common stacks we build for Cumming small businesses: QuickBooks Online + Gusto + MakersHub + QuickBooks Payments for the standard service business, Xero when it is already the right fit, and industry-specific platforms like JobTread for construction, Jobber for trades, Skimmer for pool service businesses, and Shopify or eBay for e-commerce, all connected back to QuickBooks so the books reflect reality.
Process
We test the data flow end to end. What hits the bank actually lands on the right account in the books. QuickBooks Payments is our default payment processor; when a required software workflow needs Square or Stripe, we wire that in cleanly instead. The plumbing works.
Details
Pair accounting software consulting with QuickBooks setup, QuickBooks cleanup, and startup accounting solutions for a clean implementation from day one. If you are switching platforms entirely, we handle the historical data migration too.
01
Picking the right core platform
For most Cumming small businesses, QuickBooks Online is the right core. It has the deepest local-CPA familiarity in the Atlanta-metro area, the strongest third-party app ecosystem, and a tier structure that scales from solo freelancer to mid-market business. We are QuickBooks Online ProAdvisors, which means we get wholesale pricing we can pass through and direct support escalation when issues come up.
Xero is a strong alternative, particularly for businesses with international operations, multi-currency needs, or a strong preference for clean modern UI. We work in Xero too and will recommend it when the situation fits.
For very small freelancers and side-hustlers, QuickBooks Solopreneur (formerly Self-Employed) is sometimes the right starter platform. It is cheaper, simpler, and ties directly into TurboTax for Schedule C filing. We will tell you straight whether to start there or jump to QuickBooks Online.
What does not fit our practice: Wave (limited features, no real CPA support), FreshBooks (designed for invoicing, weak on accounting basics), and various 'AI bookkeeper' apps that promise full automation but produce books that need cleanup before any tax preparer will touch them.
02
Building the integration stack
For a typical Cumming service business, the stack we build looks like: QuickBooks Online for the books, Gusto for payroll (or QuickBooks Payroll if you want it natively integrated), MakersHub for accounts payable and receipt capture, TaxJar or Avalara for sales tax (if multi-state), and QuickBooks Payments for payment processing unless the required operating software needs Square or Stripe.
For Cumming construction, we add JobTread. For trades, we add Jobber. For pool service businesses, we add Skimmer. For e-commerce, we connect Shopify and eBay workflows. For service businesses, we connect scheduling, invoicing, payment, and receipt tools back to QuickBooks so the books stay clean.
Each connection is tested end-to-end. A QuickBooks Payments deposit shows up in QuickBooks with the underlying customer payments still tracked in your A/R. A MakersHub bill payment shows up as one bank transaction but the underlying bills are still tracked individually for vendor reporting and 1099 prep. The plumbing actually works.
03
Migrations from legacy or wrong-fit platforms
From QuickBooks Desktop to QuickBooks Online: the most common migration we run, especially as Intuit phases out Desktop support. Most migrations take three to four weeks. Data export, validation, import, chart of accounts cleanup, integration setup, training. After migration, monthly bookkeeping fees usually go down because cloud workflows are more efficient.
From Wave or FreshBooks to QuickBooks Online: another common pattern. Most Wave and FreshBooks files have limited historical data quality (missing reconciliations, weak categorization), so migration often pairs with a cleanup project to make the historical data usable. Two to four weeks for the migration plus cleanup combined.
From spreadsheets to QuickBooks Online: the most rewarding migration. Most owners who have been running on Excel are spending two to four hours per week on bookkeeping that should take 15 minutes. Migration to QuickBooks immediately recovers that time. One to two weeks for setup, plus optional historical data import for the prior year.
04
Pricing
Accounting software consulting is priced per project. A simple QuickBooks Online setup with chart of accounts and bank feeds is $750 to $1,500. A full stack implementation with payroll, AP, sales tax, and industry-specific integrations is $2,500 to $7,500. A migration from QuickBooks Desktop or another platform is $1,500 to $4,500 plus optional historical data import at $50 to $100 per month of historical data.
For ongoing software optimization (you have the stack but want to add new tools, retire unused tools, or improve workflows), we offer hourly consulting at $175 per hour with a one-hour minimum. Most ongoing consulting engagements are 2 to 5 hours per quarter.
FAQ
Common questions about accounting software consulting in Cumming, GA
- How do I know if I picked the wrong software?
- Common signals: bookkeeping takes more than a few hours per month, your CPA complains about your file at year-end, you cannot get the reports you need without exporting to Excel and rebuilding them, integrations between tools require a lot of manual data entry, or you have outgrown your current tier and the upgrade does not seem worth it. Any of these is a good reason to talk through whether a different platform or a different stack would help.
- Do you have a preferred payroll provider?
- Gusto for most Cumming small businesses (clean UI, strong customer service, fair pricing, deep QuickBooks integration). QuickBooks Payroll for clients who want it natively inside QuickBooks. ADP or Paychex for larger payrolls or businesses with complex multi-state payroll needs. We will recommend based on your situation.
- What about AI bookkeeping platforms?
- They are getting better, but they still produce books that require human review and cleanup before they are reliable. The promise of fully automated bookkeeping is mostly marketing; the reality is that judgment calls (categorization of unusual transactions, accruals, intercompany transfers, owner draws) still require a human. We use AI tools internally to speed up our own work but do not deliver pure-AI bookkeeping to clients.
- Can you also recommend tools for things outside accounting?
- Within reason. We have opinions on payroll, AP, expense management, payment processing, time tracking, and project management because these touch the books directly. For things further afield (CRM, marketing automation, HR, IT), we will share what we have seen work but defer to specialists who focus on those categories.
- What if I am happy with my current software?
- Then we leave it alone. We do not push platform changes for the sake of change; if your current setup is working, the right answer is to keep using it. We are happy to optimize within your existing platform if you want to improve workflows without a full migration.
